Automated Onboarding — Document Collection, HR Integration & Day-One Access Provisioning for a 200-Person SMB
Project Overview
A 200-person professional services company was processing new hire onboarding through a mix of emailed PDF attachments, manual HR data entry, and a two-week lag between start date and full system access. With 30–40 new hires per quarter, HR staff was spending the equivalent of a full-time role on onboarding paperwork alone.
We built an end-to-end onboarding portal that automates document collection, routes forms for signature and approval, syncs data into their HRIS, and triggers account provisioning — compressing their 14-day onboarding timeline to a single business day.
The Challenge
New employees were arriving on their first day without system credentials, equipment assignments not confirmed, and paperwork still pending — creating a poor first impression and real productivity loss. HR was manually chasing signatures, re-keying form data into multiple systems, and tracking completion status in a spreadsheet.

The Solution
We designed a pre-boarding portal that new hires access before their start date, walking them through document submission, e-signature, and personal information collection — all feeding automatically into downstream systems.
- Offer-Triggered Invitation: When HR marks an offer as accepted, the portal sends the new hire a personalized onboarding link with their unique pre-boarding checklist
- Document Collection & E-Signature: I-9, W-4, direct deposit, policy acknowledgements — all collected digitally with legally compliant e-signature capture and automatic archival
- Automated Reminder Sequences: Incomplete items trigger daily reminder emails until resolved; escalation alerts sent to HR manager if outstanding 3 days before start date
- HRIS Data Sync: Completed form data is parsed and pushed directly to the HRIS via API — zero manual re-entry for HR
- IT Provisioning Trigger: Upon document completion, an automated provisioning request is sent to IT with role-based system access requirements — accounts created and credentials emailed before day one
- Manager Dashboard: Hiring managers see real-time completion status for their incoming team members and receive a day-one readiness report 48 hours before each start date
